Summary        

The Administrative Assistant (Central Office) serves as the first impression of the organization and is responsible for the efficient organization and coordination of daily administrative processes. This position is responsible for receiving and directing all visitors, managing vendor traffic and security procedures, assisting with ordering of office and kitchen supplies, handling delivery of orders, data entry, maintenance of mailing lists, implementing and maintaining office filing systems and record retention, cell/office phone and equipment support/maintenance, and general administrative and project support to Central Office staff/departments.

Essential Duties and Responsibilities:

  • Receives and directs all visitors and phone calls ensuring a professional experience for visitors and callers. Immediately notifies staff when visitors arrive.
  • Works with Facilities Manger to control access into the building.
  • Maintains an effective data management system which includes transferring data from paper formats into computer files or database systems and the creation and maintenance of mailing lists and donor communication.
  • Performs data entry in a timely and efficient manner.
  • Retrieves data from the database or electronic files as requested.
  • Assists with inventory control of kitchen and office supplies assists for all departments. Works closely with printing vendors to get quotes and mailings out on time and within budget.
  • Supports special events as assigned.
  • Serves as a backup for the AddVentures Administrative assistant
  • Efficiently operates a multi-line telephone system by quickly answering and professionally greeting all callers.  
  • Provides accurate information (i.e. general company inquiry, meeting location).
  • Assists with other related clerical duties such as meeting room setup, photocopying, faxing, filing, and collating, shredding and miscellaneous projects.
  • Performs other duties as assigned.

Qualifications:

  • High School diploma or General Education Diploma.
  • 1-3 years of experience in an office, reception or administrative services environment.
  • Previous customer service experience, preferably in a fast paced, high demand environment
  • Knowledge of basic office systems including computers, fax machines, copiers, printers, postage meters, telephone systems, etc.
  • Proficient in MS Word, Excel, PowerPoint, and database knowledge
  • Valid Ohio driver's license and reliable transportation
  • Ability to work occasional evenings and weekends
